About us and this Privacy Statement The Humane League UK ("The Humane League UK", "we", or "us") is a registered charity in England and Wales (registered charity number 1177926).
This Privacy Statement explains how we collect and use personal information of applicants for recruitment for permanent or temporary roles and internships. We provide a separate Privacy Statement to explain the other ways we process personal data (i.e. other than for recruitment purposes) which you can find here.
We take data protection very seriously and we are committed to protecting the privacy of the individuals whose personal information we hold. Our processing of any personal information is governed by UK data protection laws.

How we collect personal information for recruitment
We collect personal information when you:
- Browse our website
- Send us a job application, either directly or via an agent
- Attend a job interview
- Engage with us in other ways about recruitment
- Accept a job offer from us, at which point we will request references from former employers and associates
The types of personal information we collect
The personal information we routinely collect includes:
- Your name
- Contact details, e.g. email address, phone, postal address
- Previous work experience, skills, and qualifications as outlined on your CV
- Information from interviews and skills tests you may have
- Information about your right to work in the UK
- Other information which is relevant to the role you are applying for.
Sensitive information
We do not normally ask for any ‘special category’ or other sensitive information, such as diversity or dietary information, except with anonymised surveys where this information is not linked to any specific individual.
How we use personal information
We use personal information for the following recruitment-related purposes:
Purpose for using personal information: Information you provide to us on an application or during a job interview. Lawful basis for processing: For the performance of a contract or agreement.
Purpose for using personal information: To take up references from contacts you provide to us, where appropriate. Lawful basis for processing: With your consent.
Purpose for using personal information: If we offer you a role to take up employment with us. Lawful basis for processing: For the performance of a contract or agreement.
When certain information is necessary Sometimes certain personal information is necessary to enable us to evaluate your application, or to comply with our legal obligations. In these situations, if you choose not to provide the necessary information, we may not be able to consider your application.
We keep your personal information secure We take the protection of your personal information very seriously. We take appropriate steps to ensure your personal information is kept safe and secure at all times.
We use specialist external service providers for certain purposes, who process personal information on our behalf under contract. When we do so, we ensure appropriate agreements are in place to protect personal information.
Any transfers between ourselves and external service providers are by secure means.
Sharing of personal information We do not share your personal information with other organisations for them to use for their own purposes except, and only in specific necessary situations, with The Humane League (based in the USA) with your consent.
We may disclose personal information if required to do so by law, i.e. if we reasonably believe that this sharing is necessary to comply with the law and the reasonable requests of law enforcement.
How long we keep your personal information We only keep personal information for as long as necessary for specified purposes relating to recruitment. We will keep unsuccessful applicant data on our HR software for 6 months after the end of the relevant recruitment process, at which point it will be deleted.
If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment on our HR software. The periods for which employee data is held will be provided to you in a separate privacy notice.
Your personal information rights You have a number of rights under UK data protection law, as follows.
- Right of access: You have the right to access the personal information we hold about you and the purposes for which we are using it. We may ask for proof of your identity. On receipt of such a request we will endeavour to respond to you as soon as possible, at most within one calendar month.
- Right to rectification: You have the right to request that we amend any personal information which is incorrect or requires updating.
- Right of erasure: You have the right to request that we delete any personal information pertaining to you. We will assess any deletion request on a case-by-case basis and will endeavour to respond to you as soon as possible, within one calendar month.
If you have any concerns about the manner in which we have collected or used your personal information, please contact us and we’ll do our very best to help. If you’re unhappy with the way we have handled your personal information, you have the right to contact your local Supervisor Authority for data protection. If you live in the UK, for example, that would be the Information Commissioner’s Office (ICO).
